Executive Assistant

Compensation: Hourly, $9-$10 per hour
Hours: Full-time (40 hours per week) M-F 8:30-5:00, overtime to meet deadlines and for meetings may be required. This position will work with our Executive & Corporate Managers nationally. We’re looking for a highly organized, motived candidate to assist with the responsibilities below.


  • Coordinate travel nationally, including flights, hotel accommodations, car rentals, and corporate condo management
  • Assist executives by planning and scheduling meetings, conferences, and webinars and managing calendars through Outlook
  • Monthly expense reports for executive & corporate managers
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
  • Placing orders for catering and individual meals, including pick-up, delivery and on-site set-up
  • Drop-off and pick-up of items from other locations 
  • Printing, scanning, mailing, collating, faxing etc.
  • Tracking memberships and points programs, including enrollment
  • Other projects as assigned by Executive & Corporate Management

Skills and Qualifications:

  • Great Verbal & Written Communication
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Reporting & Presentation Skills
  • Strong skills in Microsoft Office, including Word, Excel, Outlook, etc
  • Energetic and eager to learn
  • Work in a fast paced environment on multiple projects

Education & Experience:

  • High School Diploma
  • 3 years of experience preferred providing high level support for c-level executives
  • Experience booking company-wide travel for an organization
  • Knowledge of standard office administrative practices and procedures
